We send pricing and a contract within 24 hours of inquiry — hotels often take 3–5 days. If a hotel is your competing option, ask them directly when they can send pricing; the answer tells you whether they want your business.
Dietary restrictions break corporate events if collected late. We need a dietary count 7 days before the event — vegan, vegetarian, gluten-free, halal, kosher. After that we can still adjust, but the kitchen has to scramble. Build the dietary question into your RSVP form, not as a follow-up email.
Recurring quarterly bookings are easier to plan than single events. Companies that lock in all four quarterly off-sites at the start of the fiscal year get better date availability, simpler invoicing, and the same event manager across all four. If your team meets four times a year, this is the easier path.
